terms
What is agreed when you hire reception equipment: booking, delivery, collection, breakage and cancellation.
Last updated: 6 September 2026
Purpose
These terms govern the hire of reception equipment from TBS Distribution S.A.R.L — furniture, tableware, linen, decoration, sound and lighting — together with the associated delivery, set-up and collection services.
They supplement the accepted quote. In case of any discrepancy, the quote prevails: it carries the detailed equipment list, the dates, the venue and the firm price agreed.
Quote and booking
Every enquiry gives rise to a priced quote, sent within 24 working hours. The quote sets out the inventory, the quantities, the delivery and collection dates, the venue and the total amount.
The booking becomes firm once the quote is accepted in writing and the deposit is paid. Equipment is only held from that point on: in high season, an unconfirmed quote guarantees no availability.
Amounts, security deposit and deadlines
The following figures apply to every hire, unless the quote states otherwise:
- Deposit on booking
- To be completed — Percentage of the quoted amount
- Security deposit
- To be completed — Amount or percentage, and refund period
- Free cancellation
- To be completed — Number of days before the delivery date
- Late cancellation
- To be completed — Share of the deposit retained
- Breakage and missing items
- To be completed — Basis on which items not returned are valued
- Delivery area included
- To be completed — Radius around Lomé, and the rate beyond it
The security deposit is refunded after the equipment has been collected and checked, less any missing or damaged items.
Delivery, set-up and collection
TBS delivers, sets up and arranges the equipment before the agreed time, then dismantles and collects it after the event. The time slots are stated on the quote.
The client guarantees practicable access to the venue — a passable road, an unloading area, a clear set-up space — and the presence of a contact person at both delivery and collection. If access proves impossible or the space has not been cleared, waiting time and a second visit are charged.
Use of the equipment
The equipment remains the property of TBS Distribution S.A.R.L for the whole hire period. It may not be sub-let, lent, moved away from the venue stated on the quote, or modified.
It is supplied washed, checked and counted. The client takes reasonable care of it and protects it from the weather and from damage throughout the hire period.
Breakage, missing items and late returns
A joint inventory is drawn up at delivery and at collection. Equipment that is missing, broken or rendered unusable is charged on the basis set out in the table above.
Normal wear and tear is not charged. A stained tablecloth is cleaned by TBS; a torn or burnt one is replaced.
Any equipment not returned on the agreed date extends the hire and is charged at the daily rate until it is actually returned.
Cancellation and postponement
Any cancellation must be notified in writing — by e-mail or WhatsApp message — as early as possible. The applicable periods and retained amounts are set out in the table above.
Postponement to a later date is accepted free of charge subject to availability, provided it is requested within the free cancellation period.
Should TBS be unable to carry out the service, all sums paid are refunded in full, with no further compensation.
Liability
TBS is answerable for the conformity of the equipment delivered and for the proper execution of the set-up. Its liability is limited to the amount of the hire concerned and does not cover indirect loss.
The client is answerable for the equipment from delivery until collection, including in the event of theft, damage by a third party or bad weather. It is for the client to check that their insurance covers the event.
Neither party is held liable for a failure caused by force majeure.
Complaints
Any complaint must be notified within 48 hours of collection, by e-mail to contact@tbstogo.com or by telephone on (+228) 90 10 85 10. After that period the service is deemed accepted.
Personal data
Information provided with a quote request is processed in accordance with the privacy policy.
Governing law and disputes
These terms are governed by Togolese law. In the event of a dispute, the parties first seek an amicable solution. Failing agreement, the dispute falls to the competent courts of Lomé.
